Role:
The incumbent will offer executive administrative and project management support to the Executive Director Asia and other senior managers as well as carry out a wide range of projects administrative tasks and Executive Director Office operations.
Key Accountabilites
- Manage Executive Director electronic diary and daily mail to ensure the smooth running of the office and the department/team
- Manage travel arrangements to ensure Executive Director & the staff’s visits operate smoothly, efficiently and cost effectively
- Manage meeting arrangements to ensure meetings are held and attended and that all the necessary documentation is in place, take minutes to provide a record and follow-ups
- Collect reports for Executive Director to ensure that all information required by the business is produced accurately and to deadlines
- Assisting Executive Director in desk studies
- Act as a Configuration Librarian for the projects and people database
- Reminding the staff of important tasks and deadlines as per direction of line manager
- Typing, compiling and preparing reports, presentations and correspondence
- Handle phone calls and messages, for Executive Director , as needed
- Any other task assigned by Executive Director
The successful applicant for the post of Executive Assistant will have excellent communication and organisational skills, be comfortable dealing with senior figures, taking the initiative and resolving issues. Good team working, interpersonal and communication skills are essential.
Education & Experience
- Master’s degree in management, Administration or related discipline recommended.
- At least 4 years’ experience as a Personal, Executive Assistant/Secretary or staff officer with well reputed International/National Organization.
- Computer Proficiency, good command on Microsoft Office especially Word, Excel and Power Point programmes.
- Co-ordinate and manage Visa’s, travel arrangements, hotels and flight bookings.
